Information we collect
When using the request form, you may provide your name, phone number, city, requested product, request channel, email address, notes and images you choose to upload. Limited technical data connected with the request, such as an IP address or a derived identifier, may be used to protect the form and prevent abuse. Some fields are required because we cannot process the request without them.
Purposes and legal bases
We use request data to reply, confirm the product request, arrange an assessment or installation and provide support. Data needed to handle your request is processed to take steps at your request before entering a contract or to perform the contractual relationship where applicable. Technical security data is processed on the basis of our legitimate interest in protecting the site and preventing abuse. Certain transaction records may be retained to comply with legal or accounting obligations. The site does not use automated decision-making that produces legal effects for you.
Sending, recipients and transfers
The website does not store your request in a local database. When email is selected, request details and selected images are sent to the AQUA FLORA mailbox through the hosting and email provider. When WhatsApp is selected, a prepared message opens for you to review and send yourself and the conversation is then subject to WhatsApp/Meta policies. Data is shared only with staff, technicians and service providers needed to handle the request. If a provider processes data outside the European Economic Area, appropriate legal transfer safeguards are used where required.
Retention
Enquiries or product requests that do not become a transaction are normally reviewed and deleted no later than 12 months after the last contact, unless a longer period is justified by a dispute or legal obligation. Documents that become part of accounting or tax records are retained for the period required by Belgian law; some accounting documents and invoices may need to be kept for 10 years. Anti-abuse rate-limit records are short-lived and used within protection windows of up to 24 hours, while operational error logs are size-limited and periodically overwritten for troubleshooting.
Local storage and cookies
The site uses limited, necessary storage technologies for core functionality and preferences such as language. The current version does not include external advertising or analytics tracking tools. If analytics or marketing services are introduced later, this policy and the consent mechanism will be updated where required before activation.
Your rights and complaints
Subject to the applicable legal conditions, you may request access, rectification, erasure or restriction of your personal data, object to certain processing, and request data portability where it applies.
